Cloudbeds POS - Getting Started

The Cloudbeds POS is an application that allows customers to manage sales transactions directly from a smartphone or tablet, it simplifies operations and enhances customer service, offering a compact, user-friendly solution for modern businesses.

Perfect for properties that:

  • Need a simple POS without extra hardware.
  • Manage items / Services in Cloudbeds.

To use the app, download the Cloudbeds Point of Sale application to your mobile device from the Apple App Store or Google Play Store.

The customer must log in using their Cloudbeds credentials. Please note that by logging into the account, the customer is automatically agreeing to the terms of service.

Currently, there is NO permission configuration within the app, so all users who have access to MFD will have access granted for the Cloudbeds POS app

Settings

Upon logging into the app, the first step is to navigate to the settings page and configure the app accordingly.

There are a few steps the customer needs to take to configure the account:

  • Items and Services
  • Payment Methods
  • Tips
  • Printer Configuration
  • Select a House account

Items and Services

There are 2 options available when you click on Items and Services

  • Items and services → here is where you will select the items that will be available for sale in the app.

All items are enabled in the app by default. If you don’t want to sell a specific item through the app, simply click the green toggle to disable it, and the item will no longer appear in the items menu.

On this page, you can view each item’s individual price (including tax) and check whether it is currently in stock.

You can also filter the list by type, category, or availability status.

All items and services are managed through the Cloudbeds platform.

  • Outlets → Outlets represent the venues where items are sold. You can create a separate outlet for each venue at your property. This allows you to assign and manage which specific items are available for sale in each outlet.

Creating an outlet is quick and easy - just follow these steps:

  • Enter the outlet name.
  • Select whether it is a restaurant (this feature is not yet available, so no action is needed for now).
  • Add a short description of the outlet.
  • Choose the items and services that will be available for sale in this outlet.
  • Click Save - and you’re all set!

Note: If you want to allow customers to add a tip to their bill, you must create a Tip item in MFD. This item can remain disabled for all outlets if needed.

Payment Methods

On this page, you can enable all available payment methods in your app. By default, only the option to add the order to the folio is enabled. To activate any additional payment method, simply click the toggle to turn it on.

Payment methods available:

  • Charge to Folio → the order will be added to the guest folio.
  • Cash → cash payment received at the outlet.
  • Cash payments are recorded in the app, and the transaction will be sent to the house account selected.
  • Cash payments will not be added to the cash drawers.
  • Third Party Payment Processor → if you use an external credit card terminal, not Cloudbeds Payments terminal, this payment will be recorded into the app and the transaction will be forwarded to the house account selected. With this payment method, the app does not process the payment.
  • Pay by link → This feature is available to customers using the Cloudbeds Payments processor in MFD. By accessing the QR code, the customer can pay for the order directly from their mobile device using the Pay by Link option. This option becomes available after you click View Order Details and finalize the order.
  • Tap to Pay → This feature is available for customers using the Cloudbeds Payments processor in MFD, with card-present payments enabled, will automatically have the option to process charges through Tap to Pay on the app.

Important Notice: Tap to pay is not available for all locations and devices.

iOS country availability

iOS 16.7+

Australia, the United Kingdom, and the United States (Tap to Pay on iOS isn’t available in Puerto Rico)

iOS 17.0+

France, Italy and the Netherlands

iOS 17.4+

Austria, Canada, Czech Republic, Ireland, New Zealand and Sweden

Android country availability

Australia, Austria, Belgium, Canada, Czech Republic, Denmark, Finland, France, Germany, Ireland, Italy, Luxembourg, Netherlands, New Zealand, Norway, Portugal, Singapore, Spain, Sweden, Switzerland, United Kingdom and the United States

  • Add to a house account → allow the customer to keep an open tab at the bar, the customer will be able to modify or cancel open orders.
  • Pay by Link → available for customers using the Cloudbeds Payments processor in MFD, allows the guest to pay for the order using a QR code.

Tips Configuration

Tips are added in the Cloudbeds platform as a separate line item. Please create an item in MFD named “Tips” with no price assigned. If you do not have tips as an item inside MFD, the tips functionality will NOT be available in the app.

In this page you will be able to:

  • You can enable or disable tips for an order. Tips are enabled by default, but you can turn them off at any time by clicking the toggle.
  • Show Custom Tip Option → this will allow the guest to add a custom amount of tip.

When tips are enabled, the app will display preset percentage options, a No Tip option, and a Custom Amount option for guests to choose from.

Printer Configuration

In this tab, you can connect your POS printer to the app. If you don’t configure a printer here, don’t worry — you’ll still be able to print order details using the Print button.

House Account

In this page, you will select a house account. This chosen house account will be the destination for all cash, tap-to-pay, and those processed through third-party services.

Selecting a House Account

  1. Click on House Account: the user will see all house accounts pre-created inside MFD
  2. by default. The user sees all open house accounts; however, they can use the filter to see the closed ones also.
  3. Select the house account the transactions will be posted into.
  4. Click on continue. Configuration is done.

All configuration is complete - you’re now ready to start placing orders!
