This guide explains how to manage payments, refunds, and receipts using the Epson Fiscal Printer integration.
❗To comply with Italian fiscal regulations, a receipt is only triggered once a payment is allocated to specific charges.
1. Adding a Payment (Standard Folio)
For payments taken directly on the guest folio:
Navigate to the Folio tab of the reservation.
Click the Add Payment button.
Select the Charges and enter the Payment Details.
Click Save.
The fiscal receipt will print automatically once the save is successful.
2. Refunding or Voiding a Payment
If you need to reverse a transaction:
Go to the Documents tab, then select Invoices and Receipts.
Locate the receipt you wish to refund/void from the list.
Click Void.
A Refund Receipt will print automatically to document the reversal for fiscal records.
3. Handling Specific Booking Scenarios
For the following scenarios, the fiscal receipt is not always automatic and requires a manual Allocation step to trigger the printer.
Booking Engine, OTA Paid, or "Hotel Collect" (Cloudbeds Payments)
When a payment arrives via the Booking Engine, an OTA (like Expedia), or is captured via Cloudbeds Pay:
Find the payment line in the Folio.
Select Allocate Payment.
Select the specific charges this payment should cover.
Click Save. The receipt will now print.
Adding an Item with Payment
If you post a charge and payment simultaneously:
Find the payment line in the Folio.
Select Allocate Payment.
Select the charges and click Save. The receipt will print.
4. Viewing a Digital Copy
Cloudbeds keeps a record of all fiscal transactions for your review:
Go to the Documents tab and select Invoices and Receipts.
Find the specific receipt.
Click the three-dot menu (⋮) on the right and select View.
5. Troubleshooting Receipt Failures
If a receipt fails to print (e.g., the printer is out of paper or offline), an error message will appear briefly in the lower-left corner.
To find the error details later:
Go to the Documents tab.
Locate the receipt marked with a red "Failed" status.
Hover your mouse over the red "Failed" box to see the specific error message provided by the printer.
