Overview
The Manager's Report is a standard production report that gives managers a single view of key operational and revenue metrics for a selected day, plus Month-to-Date (MTD) and Year-to-Date (YTD) totals.
Use the Manager's Report to answer daily questions such as “How many arrivals do we have today?”, “What is our current occupancy?”, and “How much revenue have we generated this month and year so far?”
Accessing the Manager's Report
- Open the Main Menu
- Go to Reporting > Production Reports
- Select Manager's Report
Filters and Options
At the top of the Manager’s Report, you will find two key controls: the Date filter and the More Options menu. These tools allow you to adjust the reporting period and export the report as needed.
- Use the Date selector to choose the day you want to analyze. The report will refresh automatically based on the selected date.
- Open the More options (three dots) menu to export the Manager’s Report in your preferred format:
- Export to PDF
- Export to CSV
- Export to Excel
The date filter affects all metrics in the report, including the tomorrow and next 7 days sections, which are calculated relative to the selected date.
Understanding the Manager's Report layout
The report displays metrics in rows, grouped by topic, with three numeric columns:
- Day – metrics for the selected calendar day only.
- MTD (Month-to-Date) – cumulative values from the first day of the month through the selected date.
- YTD (Year-to-Date) – cumulative values from the first day of the year through the selected date.
Some forecast metrics only populate in the Day column and are intentionally blank in the MTD/YTD columns.
Metrics in the Manager's Report
Reservation activity
These metrics show how reservations are moving through your property on the selected date.

| Arrivals | Number of all room reservations arriving. |
| Departures | Number of all room reservations departing. |
| Cancelations | Number of cancelations made today for any date. |
| No shows | Number of no show reservations. |
| Reservations Made Today | Number of reservations that were created today for any date. |
| Stayovers | Number of room reservations staying at the hotel. This includes reservations arriving checking in today or reservations that stayed pervious nights and are staying tonight. |
| Same Day Bookings | Number of bookings made today that are staying tonight. |
| Room Nights Reserved Today | Number of room nights from all reservations that were created today for any date. |
Inventory and occupancy
These rows summarize how your inventory is distributed across sold, available, blocked, and out-of-service rooms, along with occupancy KPIs.
| Metric | Description |
| Total Rooms (Capacity) | Total number of rooms ("keys") that are available for sale at the property. No rooms are removed from this number unless they no longer physically exist at the property. For properties with split inventory this will count physical rooms only. |
| Total Rooms Minus Out Of Service Rooms | Total number of rooms ("keys") that are available for sale at the property minus any out of service rooms. |
| Total Rooms Minus Out Of Service and Blocked Rooms | Total number of rooms ("keys") that are available for sale at the property minus any out of service rooms or blocked rooms. *This does not count allotment blocked rooms. |
| Remaining Sellable Rooms (Total Rooms minus Rooms Sold) | Total rooms that are still available for sale at the property. This is equal to total rooms minus rooms sold. |
| Remaining Sellable Rooms minus Out of Service and Blocked | Total rooms that are still available for sale at the property minus any out-of-service or blocked rooms. This is equal to total rooms minus rooms sold minus out-of-service rooms minus blocked rooms. *Blocked rooms do not count as allotment blocked rooms. |
| Rooms Sold | Total number of rooms sold or booked from transient, groups or contract for a specific stay date. "No Shows" are not included in this number. For properties with split inventory this will count physical rooms only by using the virtual to physical linked relationships specified in the PMS. |
| Out Of Service Rooms | Total number of rooms marked as Out of Service. For properties with split inventory this will count physical rooms only by using the virtual to physical linked relationships defined in the PMS. |
| Blocked Rooms | Total number of rooms marked as Blocked. For properties with split inventory this will count physical rooms only by using the virtual to physical linked relationships defined in the PMS. *This does not count allotment blocked rooms. |
| Occupancy % | Percentage of rooms sold divided by total rooms available. For properties with split inventory, Total Rooms Available and Rooms sold includes physical rooms only. Blocked rooms and out of service rooms are included in Total Rooms Available. *Complies with USALI standards. |
| Adjusted Occupancy % (Minus Blocked and Out Of Service Rooms) | Percentage of rooms sold divided by total rooms available. For properties with split inventory, Total Rooms Available includes physical rooms only. Blocked rooms and out of service rooms are removed from Total Rooms Available. |
| In-House Adults | Total number of in house adults. |
| In-House Children | Total number of in house children. |
| Total In-House Guests | Total number of in house guests. |
Revenue and performance
These rows summarize revenue streams and key performance indicators for the selected date, and their MTD/YTD totals.

| Other Revenue | Total of other revenue not categorized as room revenue excluding inclusive and exclusive taxes and fees. This includes items and services, add-ons, cancellation fees, adjustments. |
| Miscellenous Income | Total of miscellaneous income including cancelation fees and their adjustments. |
| Total Revenue | Sum of total room revenue and total other revenue. This includes items and services, add-ons, cancellation fees, adjustments. Excludes inclusive or exclusive taxes and fees. |
| ADR | Average Daily Rate of rooms sold calculated as Total Room Revenue divided by Total Rooms Sold. This includes room rate, manual room revenue, no-show fees, manual room revenue adjustments. Excludes inclusive or exclusive taxes and fees, and cancellation fees. For properties with split inventory Total Rooms Sold includes physical rooms only. *Complies with USALI standards. |

Tomorrow overview
These metrics provide an at-a-glance forecast for the day immediately after the selected date.

These metrics show a short-term forecast for the 7 days following the selected date.

Frequently Asked Questions
Is the Manager's Report available as a multi-property report?
No. The Manager's Report is a Standard Report and is available as a single-property report only for now.
Who can see the Manager's Report in Cloudbeds PMS?
The Manager's Report is visible to users whose role includes Reservations and Occupancy permissions, since the report uses both of these types of data.
