This article explains how Guest Requirements are applied to the Digital Check-In flow in Guest Experience (GX). This functionality allows properties to collect government-required guest information directly from guests before arrival.
Prerequisites: This feature is for properties using Guest Experience (GX) in countries where Guest Requirements are available.
What is Guest Requirements in Digital Check-In?
Guest Requirements define which guest information must be collected to comply with local government reporting regulations (for example, police reports).
These required fields can appear directly in the Digital Check-In flow, allowing guests to provide the information themselves instead of completing it at the front desk.
Guest Requirements fields can appear in the following Digital Check-In steps:
- Primary guest details
- Additional guests
How Guest Requirements work during Digital Check-In
Each Guest Requirement field can be configured with an enforcement level that determines how it behaves during Digital Check-In. These are the three options:
- Hide: This is the most restrictive setting. When Hide is selected, the configured Guest Requirement fields will be completely omitted and will not appear anywhere within the Guest Experience Check-In Flow. The property will need to capture this information through an alternative method (e.g., at the front desk).
- Optional: This setting offers maximum flexibility to the guest. When Optional is selected, the Guest Requirement fields will be visible within the check-in flow, allowing the guest to voluntarily provide the requested data. However, the system will not prevent the guest from completing the check-in process if they choose to leave these fields blank.
- Required: This is the strictest setting, ensuring complete data capture. When Required is selected, the Guest Requirement fields will be presented as mandatory input fields. Guests will be unable to advance past the current step or complete the digital check-in process until they have successfully entered the necessary data into all designated required fields. This ensures 100% data compliance before arrival.

Where to configure Guest Requirements for Digital Check-In
Guest Requirements enforcement for Digital Check-In is configured in:
- From your Account
, go to Settings
- Click Guests
- Go to the Guest Information tab
- Within the selected Guest Information Template (for example, Spain or Portugal), you can control when each required field is collected, including during Self check-in.
Unless a field is set to Hide, Guest Requirement fields automatically appear in the relevant steps of the Digital Check-In flow, including Primary guest details and Additional guests.
Properties can control the order in which these fields appear using a drag-and-drop editor. This allows staff to reorder Guest Requirement fields within the Digital Check-In flow to match their operational needs and preferred guest experience.
The fields shown to guests depend on the selected country template and applicable government reporting requirements. The required fields may vary based on guest characteristics, such as nationality.
How Guest Requirements interact with Digital Check-In fields
Guest Requirements fields are system-controlled and differ from standard Digital Check-In fields.
- They are not custom fields.
- They are automatically added based on the selected country template.
- They override standard optional/required behavior when marked as Required.
