A key card is a small plastic card that your guests can use instead of a key to open a hotel door.
Important:
- Only reservations with the status Confirmed and In-House can have new key cards issued. The Issue Key Cards button will be inactive for other reservation statuses.
- Make sure to assign the accommodations, as key cards can only be issued for reservations that have been assigned.
- The property owner must grant permission to issue key cards to the appropriate user roles in the API Credentials and Integrations section.
How to Issue Key Cards
- Go to the reservation
- Access the Key Cards tab
- Click ISSUE KEY CARDS
- Select the Encoder. The second time you use this screen, the encoder will be preselected. You can change it if needed.
- If there are multiple accommodations, uncheck those that you don’t need keys for.
- Choose the Key Valid Until date and time – useful for late check-outs.
- You can encode multiple rooms on the same key card using the Accommodations drop-down.
- Select common areas for this key.
- To issue more than one copy of the key card, enter the number needed into the Key Card # field.
- Click START.
Cloudbeds will only display optional common areas when issuing a key card. Default common area access for the “guest” user group must be configured in Dormakaba before connecting to Cloudbeds. Cloudbeds will automatically grant this access for each issued key card.
Contact your Dormakaba representative for more details on common area setup.
- Touch the card to the encoder. If encoding several cards in a row, follow the Progress column on the screen.
- Once the card is encoded, click Done to close the screen.
