Displaying the Company Name on the New Invoicing

This article explains the important steps required to successfully display a company name on an invoice. Getting the company name to appear accurately is quick and simple, provided the guest profile is properly set up.

Why is the Company Name Not Showing Up?

A company name will only be available to display on an invoice if the company is selectable in the "Bill To" field. For a company to appear as a selectable option, two specific fields must be completed in the relevant guest profile.

Step 1: Include the Company Name and Company Tax ID in the Guest Profile

Before creating the invoice, you must ensure the guest's profile contains the necessary information:

View the Guest Profile to enter the data described below:

  • Company Name
    • Requirement: Must be fully and accurately entered.
    • Importance: Identifies the billed entity.
  • Company Tax ID
    • Requirement: Must be populated with the correct Tax ID/VAT number.
    • Importance: Activates the company for billing purposes.

Double-check that both the Company Name and Company Tax ID are present! If either of these fields is missing, the company will not appear in the "Bill To" dropdown menu. Learn more about managing Guest Profiles here.

Step 2: Select the Company When Creating the Invoice

Once the guest profile has both the required details (Step 1), the company is ready to be billed.

  1. Begin the standard invoice creation process.
  2. Locate the "Bill To" dropdown menu.
  3. Select the intended company from the list of available options. 
    To display a company name, you must explicitly select Bill To: Company in the dropdown. If you select Bill To: Guest, the company name stored in the profile will not appear on the document.

By completing these two steps - populating the required guest profile fields and selecting the company in the "Bill To" dropdown - the company's name will now be correctly reflected on the final invoice.
