From an accounting perspective, they are a formal record of services provided, payments received, and outstanding balances. From a regulatory perspective, they serve as the basis for calculating and reporting taxes.
In many countries, these documents are mandatory and are governed by strict regulations. Cloudbeds is continuously working to ensure our system meets these complex requirements to help you stay compliant.

The Six General Uses of Fiscal Documents:
- Pre-stay Quote Generation and Booking Preview: A document generated for a potential customer to provide a detailed quote for rooms, rates, taxes, and fees before a reservation is confirmed. Currently, Cloudbeds PMS does not have a native quote generation feature.
- Booking Agreement and Reservation Confirmation: A formal document or receipt sent to the customer once a reservation has been finalized and a deposit has been paid.
- Summary of Stay, Cancellation, or No-Show: A final invoice or folio that summarizes all charges and payments for a reservation, including any fees for cancellations or no-shows.
- Satement for Company Billing: A single, consolidated invoice for group bookings that aggregates charges from multiple reservations into one comprehensive document.
- Payment Receipt: A document that officially acknowledges the receipt of a payment, whether it's for a deposit, a partial payment, or a full settlement.
- Tax Compliance and Government Reporting: Regulated fiscal records with a detailed breakdown of taxes (like VAT) that are used for mandatory reporting to government authorities. In many regions, this process is now automated through electronic integrations to ensure real-time compliance.
