Introduction

The new fiscal documents template includes updated invoices, pro forma invoices, credit notes, and receipts. The original redesign was released in February 2026, followed by layout refinements beginning August 25, 2026.

Together, these changes make fiscal document PDFs more compact, improve financial detail presentation, and add configuration options for language and tax management.

Template availability: These improvements apply only to the new fiscal documents template. They are not available in the classic template.

Audience and impact

The updated layout is applied automatically to newly generated documents on the new template. The practical impact depends on how each user works with fiscal documents.

Role What to know
Property admin You configure language, tax classifications, issuer information, and other fiscal document settings. Layout improvements apply automatically to new documents.
Manager or General Manager You monitor document generation and guest communication. The compact layout can reduce page count and improve printed presentation. No action is required.
Front desk user You generate and send fiscal documents to guests. Updated formatting is applied automatically to new documents. No action is required.

Layout improvements

The refinements that began rolling out on August 25, 2026 create more compact PDFs that use fewer pages. This is especially helpful for longer reservations with more line items.

Layout changes

  • Two-column header: Company and property information are arranged in two columns to use horizontal space more efficiently.
  • Optimized logo: The company logo is smaller and left-aligned to reduce header height.
  • Lighter visual styling: Subtle borders and rules replace heavy background fills.
  • Tighter spacing and typography: Refined margins, line heights, and font sizes reduce unnecessary whitespace.

Documents affected

The layout improvements apply to newly generated:

  • Invoices
  • Pro forma invoices
  • Credit notes
  • Receipts

Existing documents remain unchanged. Properties receive the improvements in batches, and no customer action is required.

Template redesign

We have introduced the new fiscal documents template with design, financial-detail, language, and tax-management improvements.

Design and layout

  1. Snapshot summary: A table in the upper-right corner summarizes subtotals, taxes, fees, and the remaining balance.
  2. Simplified columns: Net, Tax, and Total replace Credit and Debit.
  3. Optimized line items: Child tax transactions appear on the same line as their parent charge.
  4. Clear payment section: A dedicated section displays payments applied to the invoice.
  5. Tax summary table: A dedicated table summarizes tax charges collected.
  6. Multilanguage support: Fiscal documents support more than 30 languages. When Use guest language is enabled, the document language is based on the country in the guest profile.

Tax management

1. Additional Tax ID field

A dedicated Tax ID field is available for:

  • Guest profiles
  • Associated companies
  • Groups

2. Tax classification

Taxes can be classified as VAT (Value-Added Tax) in SettingsSettings blue icon.png -> FinanceFinance icon.png -> Invoices and Documents.

3. VAT tax summary table

When a tax is classified as VAT, a tax summary table appears at the bottom of the invoice with a breakdown of VAT collected. The table does not appear when VAT is not used.

Pending transaction invoicing

The Allow invoicing pending transactions setting controls whether pending transactions can be included in standard financial records:

  • Off by default: Pending transactions are restricted to pro forma invoices so they are not locked prematurely.
  • On: Pending transactions can be included in standard financial records immediately.

Access fiscal document settings

Use the Invoices and Documents page to review language, tax, issuer, and pending transaction settings.

  1. From the Account Menu Account Menu.jpg go to SettingsSettings blue icon.png
  2. Select FinanceFinance icon.png
  3. Select Invoices and Documents.

On this page, you can configure:

  • Multilanguage support with Use guest language
  • Tax classification for VAT
  • Issuer information display
  • Pending transaction handling

Configuration checklist

Review the settings that apply to the property's fiscal and operational requirements:

  • Enable multilanguage support when serving international guests.
  • Classify taxes as VAT when applicable to the jurisdiction.
  • Configure Tax ID fields on guest profiles and companies when required for compliance.
  • Enable Allow invoicing pending transactions when the workflow requires it.
  • Generate sample invoices, pro forma invoices, credit notes, and receipts to confirm they meet branding and operational requirements.

Benefits

  • More compact documents: More content fits on fewer pages, which can reduce printing costs.
  • Professional design: A modern layout and consistent formatting apply across document types.
  • Compliance support: VAT summaries and multilanguage support help properties meet applicable requirements.
  • Transparency: Clearer payment sections and tax breakdowns improve readability.
  • Flexibility: Pending transactions can be managed according to the property's workflow.
