How to use Salto Space

This guide will walk you through the process of creating and managing keys directly from your Cloudbeds platform.

The key issuance interface is exclusively available in the New Cloudbeds UI. If you're currently using the old UI, you can switch to the new one by navigating to Menu -> Dashboard and clicking the Switch to New button. Learn more about the new dashboard here.

Where to Issue Keys

You have two convenient locations within Cloudbeds to initiate the key issuance process:

1. Dashboard:

  1. From the Dashboard, simply click the three-dot menu for a reservation
  2. Select Issue Keys.
  3. If keys have already been issued for a reservation, this menu will also give you options to View Issued keys or Issue Additional Keys.

2. Accommodations Tab:

On the accommodations tab of a reservation, you'll find two key buttons:

  1. In the upper right corner, there's a key icon. This button allows you to issue multiple keys at once if the reservation includes more than one room.
  2. On each individual accommodation row, on the right side, you'll see another key icon. Clicking this will allow you to issue a single key for that specific room.

The key icon's appearance will change to indicate the key issue status:

  • A key outline means no key has been issued yet
  • A solid key indicates that keys have already been issued
    You can click any of these key buttons at any time to check the status of existing keys or to issue more.

Issuing Keys Step-by-Step

When you click an Issue Keys button, the corresponding dialog box will appear. Here's a breakdown of the fields:

  1. Key type: Select the type of key you want to issue.
  2. Encoder: Choose which Salto encoder you'll be using to create the key.
  3. Checkbox: Use these checkboxes to select or deselect the specific keys you wish to issue.
  4. Room / Guest: This displays the room and the main guest associated with the key you're issuing.
  5. Valid from: This is the time the key will become active. It defaults to the check-in time on the date of check-in.
  6. Valid until: This is when the key will expire. It defaults to the check-out time on the date of check-out.
  7. Units: By default, this shows the selected room. If the reservation has multiple rooms, you can select additional rooms here.
  8. Common Areas: Select any common areas (e.g., gym, pool) you wish to grant access to with this key.
  9. Keys: This field allows you to specify how many additional keys you want to issue for the selected room(s).
  10. After configuring your desired settings, click Issue keys.
  11. The Issuing keys in progress message will display, and your encoder will light up.
  12. Hold the key card to the encoder.
  13. Once the key is successfully encoded, the encoder light will change color. At this point, you must remove the key card.
  14. The dialog in Cloudbeds will confirm that the key was successfully created.
  15. If you're issuing multiple keys, the system will automatically move to the next key. Repeat the steps of issuing the key cards until all keys have been completed.
  16. Once all keys are issued, click Done.
  17. You'll now see a summary of the keys that were created.

Troubleshooting Key Issuance

If something goes wrong:

  • You can cancel the key creation at any time.
  • Any errors encountered will be displayed to you.
  • If keys fail to create, they will still be shown in the Cloudbeds UI with a Failed status.
  • You can always open the Key Dialog to view the status of all keys for a reservation.

Invalidating Keys

You have the ability to invalidate keys at any time after they've been issued. This action will revoke access in the Salto system and remove the key's validity.

To invalidate keys:

  1. Open the key dialog.
  2. To invalidate a single key, click the invalidate icon next to that specific key
  3. To invalidate all keys at once, click the Invalidate all button
