This new feature empowers you to easily manage and implement taxes and fees that vary based on specific date periods. Whether it's accommodating seasonal changes, adhering to new legislation, or supporting unique pricing strategies, you'll now have the tools to configure your system with precision.
Why Date Ranges for Taxes and Fees?
Many jurisdictions, especially in hospitality and tourism, require the ability to adjust taxes and fees based on specific dates. This could be for various reasons, including:
- Seasonal Adjustments: Implementing a "tourist tax" during peak seasons.
- Legislative Changes: Adapting to an increase in sales tax that goes into effect on a specific date.
- Special Events: Applying a temporary fee during a local festival or convention.
We've observed a growing need for this capability across various tax and fee types, and we are committed to extending this functionality to all tax and fee types within our system to support your current and future needs.
You can also configure taxes and fees by accommodation type, learn more here:
How to configure taxes and fees by accommodation type
How to configure?
- Account
-> Settings
- Finance
-> Taxes and fees
- Chose the Date Range setting. It will appeare on all tax and fee configurations (with the exception of new Credit Card fees).
- The default setting for the Date Range - Available for All Dates.
This means that by default, your existing taxes and fees will continue to apply as they always have, without any date restrictions.
If this tax or fee is the same for all dates, select Available for All Dates. If this tax or fee should be limited to a specific date range, select Specific Date Range. The date defined will be applied to the tax or fee on the stay date of the reservation.
6. To configure a tax or fee for a specific date range, set the Date Range setting as Specific Date Range.
7. Once Specific Date Range is selected, two new attributes will appear:
-
Start Date: This is the date from which the tax or fee will begin to apply.
End Date: This is the date on which the tax or fee will cease to apply.
- We recommend using the calendar function for easy selection of each date.
- The End Date must always be after the Start Date.
- Required Fields: When "Specific Date Range" is chosen, both "Start Date" and "End Date" are required fields.
8. Forever Option: For taxes or fees that do not have a defined end date, you will have an option to set the End Date to "forever" or "end of time." This ensures you can accommodate ongoing legislative requirements.
9. For taxes or fees that follow a consistent pattern each year, you can use Repeats Yearly option.
Selecting Repeats Yearly will automatically remove the year from the date range, simplifying the setup for annually recurring taxes or fees (e.g., a summer tourist tax that applies every year from June 1st to August 31st).
10. Some taxes or fees might apply during multiple non-consecutive periods. Use the option to add a new date rule. This will allow you to define additional date ranges and associated tax/fee definitions for the same tax or fee type.
How Date Ranges Impact Calculations
The date range you configure on taxes and fees will be seamlessly integrated into our tax and fee calculation process. When a reservation is made, or a manual transaction is posted to the folio, the stay date of the reservation (or the posting date of the item) will be used to determine whether the configured tax or fee is applicable.
This new functionality provides you with unparalleled control and accuracy in managing your taxes and fees, ensuring compliance and streamlining your operational processes.
