Tax Report

Overview

The Tax Report in Cloudbeds PMS, shows the taxes and fees associated with reservations and Products (items and services). This article outlines the steps for accessing, navigating, and understanding the Tax Report effectively.

Access the Tax Report

  1. Click on the Main menu Main menu icon.png of your Cloudbeds PMS.
  2. Go to Classic Reports.
  3. Click on Financial Reports*. If this section is not available for your user, refer to the colored box below to learn how to enable it.
  4. Select Tax Report

 

 

  • *Property owners have access to Financial Reports by default.
  • Other users must be granted permission in the Roles section.

Navigate the Tax Report

Apply filters
  1. Choose the date: You can choose the past and present days.
  2. Select the tax/fee type.
  3. Apply Adjustments: Choose whether you want the system to display Adjustments for tax/fee or single records without adjustments.
  4. Click Apply to run the report.

  This report uses the service date for all financial statistics, which is the date the product or service is delivered. With proper permission, the service date can be backdated to recognize revenue and expenses in the correct period. View report
  1. Total tax/fee amount - For the selected date in the filter.
  2. MTD (Month to date) amount - Tax/fee amount of the month up to the selected date in the filter.
  3. YTD (Year to date) amount - Tax/fee amount of the year up to the selected date.

Criteria of the taxes and fees displayed
  • The tax or fee will be displayed in the report once posted in the Debit column in the reservation folio or the House Account (regardless of whether they have been paid for or not).
  • The tax or fee applied to a room rate will be posted to the reservation folio on the reservation stay date. Note: The reservation must be checked in (status: In-House) on the date it is supposed to be checked in.
    • If the status has never been changed to In-House but stays as Confirmed or Confirmation Pending, the tax or fee applied to the room rate will not be posted in the folio unless you add the exclusive tax/fee to the reservation manually.
    • If you change the reservation status that has never been checked in to Cancelled or No-Show, the tax or fee applied to the room rate will not be posted in the folio unless you add the exclusive tax/fee to the reservation manually.
    • If the status is once changed to In-House but then later changed to Cancelled or No-Show, the tax/fee applied to the room rate of the current date will be posted to the folio; only tax/fee for future dates (if any) will not be posted.
Export report

Download your report as a PDF or Excel file by clicking the Export To button at the top right corner of the page.

FAQ

Why does the Tax Report use Service Date instead of Transaction Date?

The report uses Service Date as a filterable date to support common reporting needs. The Transaction Date/Time remains immutable to ensure accurate accounting.

How is transaction data handled in the Tax Report?

Transaction data is pulled from the accounting service, which provides detailed transaction-level records aligned with USALI standards. Transactions are not editable, and changes are recorded through equal and opposite reversal entries.

Can I email the Tax Report automatically?

Automatic emailing is not available for this report. The Tax Report can be downloaded using the Export To option and shared as needed.

What are Accounting Codes in the Tax Report?

Accounting Codes categorize specific transactions following USALI standards.

In this report, the codes are bucketed as follows:

Description Code
Tax 8000 + 8000R + 8000V + 8000A
Fee 8100 + 8100R + 8100V + 8100A

Unlike other reports, the Tax Report does not display Accounting Codes.

    I just asked the same question today and got an answer back. I just did it.

    To get the total for the whole year:
    - Select the last day of 2025 in the date filter

    i.e. if you want a whole month put the last date of the month, same applies to the whole year
