When you add a new interval with dates that overlap an existing interval, the system will notify you with an alert. This notification explains how the system will adjust the interval if you proceed.
Example:
You created a rate plan with an interval called "Summer 2021", running from August 1st to August 31st, 2021.
Later, you add a new interval called "Holiday 2021", covering August 8th to August 14th, 2021, which overlaps with "Summer 2021".
If you confirm the change, the system will automatically split the existing interval into three separate intervals:
August 1st – August 7th (original interval before the new one).
August 8th – August 14th (new interval).
August 15th – August 31st (remaining part of the original interval).
Additionally, intervals will be adjusted if stay restrictions (e.g., MinLOS or MaxLOS) are modified through the Availability Matrix.
This ensures your rate plan remains structured and accurate while allowing flexibility in setting new intervals.

- Use the filter Display and select the Rate Plan and Packages, Promotional Rates in the dropdown
- Enter the promo code if any
- Proceed with further steps to complete the reservation. Check the article: Create a new reservation in Cloudbeds PMS
If a booking was made with a rate plan, this will be displayed on the reservation details page under 'Rate Plan(s)'.
Go to rate plans and packages and follow the steps to create a Derived plan (For more information: Rate Plans and Packages - Everything You Need to Know)
While configuring the derived rate plan, select the minus sign ("-") and percentage ("%"), since we will give a percentage discount to the base rate

- We want to implement a rule that any booking of 3 nights within the selected period will include a free overnight stay. This means that when you book 3 nights, the guest will receive a 33.34% discount on the total amount. For example, if we created a 4-night package for the price of 3, the discount would be 25%.
- Then enter the number 33.34 in the value field.
Complete the other additional settings of the rate plan, sources, item data, description, terms, and conditions, and add an image that illustrates the package. To avoid misunderstandings, we recommend including the promotional rate rules in the Terms and Conditions. A non-refundable early check-in is a common practice.
- Under the Availability section, click Add Interval. We will add the periods in which the package is in effect.
- Select room types that this package applies
- Select the start date and end date of package availability. The promotional package will be visible to guests who select arrival and departure dates within the period
- Set the minimum and maximum length of stay to 3 days. You can also include extra rules according to your strategy
- Save everything.
- It is also recommended to access your booking engine and test this promo.
- Remember that Closed to Arrival works differently here. If you wish to close a day for arrival in this interval, you must create a new interval, select the same period, select only the day of the week you want to close to arrival, and select the close-to-arrival rule.
The system doesn't allow you to do so because it will override the rate plan rule. To change the rate plan prices, visit the Rate Plans & Packages page.
If you have chosen dates that are overlapping with an existing interval:
For each of your promotions, you must build a separate rate plan and enter the Availability & Rate interval within that rate plan.
You received the message "You have chosen dates that overlap with an existing interval" because you have already inputted an interval for that time frame. By choosing to proceed, you will update the rate plan to the new interval.
A reservation will change the original rate plan name to the base rate in the following scenarios:
1. A reservation received through the channel is edited in Cloudbeds PMS.
For example, the reservation was received from Booking.com and you have changed it's room type in Cloudbeds PMS:
2. The reservation is moved to a room type and/or date not included in the rate plan.
In this case, the user will see the warning below and can click CONTINUE to proceed.
3. A user without the permission Create/Edit rate plans reassigns the reservation on the calendar.
In this case, the user will also see the warning above and will be able to click CONTINUE to proceed.
4. The rate plan used for the reservation is deleted.
The system will ask to edit the linked reservations before deleting the rate plan:
To bring back the rate plan name after deleting the old one, you can edit the reservation and choose the rate plan option through Quick Edit and Update Reservation.
Currently, it is not possible to create a promotion: reserve one room, get the second room with a discount. The promo settings do not allow attaching a discount to a room different from the one it was created for.
When trying to edit a reservation that was originally booked under a specific rate plan, you may see the following message:
This happens when the rate plan used for the reservation is currently deactivated. Once a rate plan is inactive, Cloudbeds PMS does not allow editing reservations linked to it, which can trigger availability-related warnings or errors such as "The availability was changed."
To edit the reservation:
- Reactivate the rate plan.
- Edit the reservation as needed.
- Deactivate the rate plan again if necessary.
This ensures that all rate rules and availability references tied to the reservation remain valid while changes are being made.
