Lightspeed K POS - Available transaction modes

Detailed Transaction Mode

Historically, the Lightspeed K integration posted all revenue, taxes, and tips as a single line item titled “Point of Sale Room Charge” on the reservation folio in Cloudbeds. While this approach is straightforward, it lacks granular detail.

With Detailed Transaction Mode, every item on a POS check is posted as an individual transaction on the guest's reservation folio. For instance, a $100 check might break down as follows:

  • 2 Cokes: $10
  • 2 Beers: $20
  • 1 Pizza: $25
  • 1 Hamburger: $15
  • 2 Ice Creams: $10
  • Tax: $5
  • Tip: $15

Each of these transactions will appear separately on the folio, offering a detailed breakdown of charges:

Benefits of Detailed Transaction Mode

  • Folio Customization: Route specific types of transactions to separate folios for tailored invoicing.
  • Tax Transparency: Accurately track and invoice taxes paid by guests.
  • Unified Reporting: Combine hotel and restaurant revenue in Cloudbeds reports for comprehensive financial insights.

Note: Transactions are posted exactly as received from the POS. For example:

  • 2 Cokes at $5 each may appear as:
    • 1 line item: “2 Cokes – $10”
    • 2 line items: “1 Coke – $5” and “1 Coke – $5”

To enable Detailed Transaction Mode, navigate to the Lightspeed K app in the Cloudbeds Marketplace -> open Settings ->and toggle on POS Transactions Detail Mode.

Compact POS Transactions on Folios

While Detailed Transaction Mode ensures transparency, viewing numerous line items on a folio can be overwhelming. To simplify folio presentation, we’ve introduced Compact Mode.

  • Compact Mode consolidates all transactions from a single POS check into one line for display and printing purposes.
  • Users can toggle between detailed and compact views using the Compact POS button on the folio.

This feature provides flexibility: detailed data remains available for reporting and troubleshooting, while the guest-facing folio remains clean and concise.

This toggle to enable the Compact POS transations is available in the folio:

  • Hi,

    Is it possible to map the different categories of products specified in Lightspeed, into Cloudbeds?

    For example, a bottle of wine is categorized as "Wine Bottles" in Lightspeed. Is it also booked in Cloudbeds in this specific category?

    As this is later pushed through to our accounting software, this needs to be splitted per category.
