Create an Email Campaign in Cloudbeds CRM

To create a new email campaign:

  1. Go to Campaigns > Campaign List.
  2. Click the blue Create Campaign button.

Step 1: Set Up Your Campaign

  1. Campaign Name: Choose a name for internal organization (not visible to recipients).
  2. Subject: A compelling subject line is key to increasing open rates and avoiding spam filters.
  3. Preview Line: This is the first line visible in some email clients, helping to entice the recipient to open the email.
  4. Sender Email: This is the email address from which your campaign is sent. You can change the default account email here.
  5. From Name: This appears in your recipients’ inboxes and helps build trust.

Step 2: Design Your Email

To create your email, you can choose from existing templates, the pre-built Template Gallery, or build one from scratch using the Design Tools:

  • Drag & Drop Editor: Build responsive, mobile-friendly emails by dragging and dropping text blocks, images, and buttons.
  • Rich Text Editor: Create simple text emails using a WYSIWYG (What-You-See-Is-What-You-Get) editor.
  • Paste Your Code: For advanced users, paste your custom HTML code.

Once you've designed your email, you can preview it, switch to mobile view, or click Edit email content to make further changes. If you want to start over, press Reset email design (note: this will delete any changes made).

Step 3: Choose Your Segment

Next, select the guest segment that will receive your email. As explained in the Guest Segments section, you can create or edit segments.

Once you’ve selected a segment, you can apply additional filters for this campaign, such as:

  1. Properties: Filter guests by hotel properties.
  2. Existing Campaign: Filter guests based on whether they received or interacted with a previous campaign.
  3. GDPR Safe Mode: Only email guests with a minimum subscription status (e.g., explicit consent).
  4. Exclude Guests with Future Stays: Prevent emails from being sent to guests with upcoming reservations.

Step 4: Schedule Your Campaign

Depending on your campaign type, you have three options for sending:

  1. Send Now: Immediately send the email.
  2. Schedule for Later: Choose a specific date and time for the email.
  3. Send Automatically (for Automated campaigns): Send emails based on specific guest events, such as:
    • X days before check-in or check-out.
    • On the guest's birthday or anniversary.
    • X days after the last check-out.

Step 5: Review and Confirm

You’ll see a summary of your campaign settings on the final page.

  • You can also send a test email by clicking the button in the upper right.
  • If any adjustments are needed, click on any step or the pencil icon✏️ to make edits.
  • Once everything is ready, press Activate/Send/Schedule (depending on the campaign type) to start the campaign.
  • You can then track the progress of the send in the Campaign Reports section.
