Manage contact lists in Cloudbeds CRM

  • Contact Lists in Cloudbeds CRM are designed to streamline your email marketing efforts by allowing you to import and manage guest data easily.
  • By default, each hotel linked to your Cloudbeds PMS will have a contact list, but you can also create new lists to import additional guest data, making it perfect for targeted campaigns.
  • By efficiently managing your contact lists and guest data in Cloudbeds CRM, you can ensure your email marketing campaigns are well-targeted and personalized, resulting in better engagement and more effective communication with your guests.

Create a New Contact List

  1. Navigate to the Guests & Segments > Lists section.
  2. Click the Add List button in the top right corner to open the dialog box.
  3. Enter a name for the new list.
  4. Choose the hotel to associate with this list. For example, if the contacts are from a signup form for a specific hotel, select that hotel from the dropdown. If the list applies to all hotels, select the "(Groupwide)" option.
  5. Click Save to create the list.

Import New Contacts

Once you’ve created a contact list, you can easily import new contacts. Cloudbeds CRM syncs all your contacts from the PMS by default, but you also have the option to import additional guest data as needed.

  1. Go to Guests & Segments > Lists and click on the Import Guests button.

  2. Select the contact list into which you want to import the new contacts.

  3. Choose the Subscription Status of the contacts you are uploading (e.g., Implicit Consent, Unsubscribed). Refer to the Subscription Status section for more details.

  4. In the dialog box, you will see the option to upload a CSV file.

    • Most content management systems (e.g., WordPress, Prestashop) and CRM platforms (e.g., Salesforce, Pipedrive) allow you to export contacts as CSV files.
    • When creating the CSV file, make sure each contact and its attributes (such as email, name, phone number) are separated by a comma, like this:

      EMAIL,SURNAME,NAME,SMS, john@example.com,Smith,John,33123456789

    • Ensure that the file includes a header row that specifies the name of each contact attribute (e.g., email, surname, name, SMS).
  5. Once the file is uploaded, click Next to proceed.

6. During the import process, CRM will ask you to map the data from your file to the corresponding fields in your Cloudbeds CRM contact list. This is where you ensure that each column in your CSV file (such as email, name, or phone number) matches the correct contact attribute in the system.

  • Select the appropriate contact attribute for each column from the dropdown menu.
  • If you do not want to import certain data, you can mark it as "None".

    7. Once you’ve completed mapping, the Import button will become active. Click Import to finalize the process.

Default Import Settings

  • Updating Existing Contacts: If any of the contacts you’re importing already exist in your Cloudbeds CRM list, their attributes will be updated with the new information from your import.
  • Email Status: Email contacts will not be automatically unsubscribed during the import process.
  • Processing Time: After importing, you'll be redirected back to the Contact List page. Large imports may take a few moments to fully process.
