All guest information changes should be made only in Cloudbeds PMS.
The Guests & Segments section in Cloudbeds CRM provides a powerful tool for searching, filtering, and managing guest profiles. It allows you to organize and retrieve guest information across multiple properties efficiently. By leveraging the features within the Guests & Segments tab, you can efficiently manage guest profiles, ensuring quick access to essential information and improving the overall guest experience at your property.
1. Hotel Filter
If you have access to multiple properties, the Hotel Filter lets you streamline your search by filtering guests based on the specific hotel they are staying at. Select the hotel from the dropdown menu to narrow the guest list to the relevant property.
2. Arrival Status
With the Arrival Status filter, you can quickly sort guests by their current status. Choose from options such as guests due to arrive, currently in-house, or departing today. This makes tracking who is coming and going on any given day easy.
3. Search Filter
The Search Filter offers multiple ways to refine your search. You can look for a guest by:
- Name
- Email Address
- Booking Reference
- Date Range (based on the guest’s stay dates)
Once you’ve entered your search criteria, press the Search button to view results. If you need to reset your filters, the Clear button will remove any active search values, allowing you to start fresh.
4. Results Table
The Results Table displays a list of guests that match your search criteria and filters. In this table, you will see critical information such as:
- Guest Name
- Address
- Booking Reference
- Other relevant booking attributes
You can sort the table by clicking on any column header, allowing for quick and easy organization of your results. If your search yields multiple results pages, you can navigate them using the pagination options at the bottom.
Clicking on any guest's row will open their Guest Profile, where you can access additional details, including contact information, booking history, and preferences.
