Cancellation Report

Overview

With this report, you can access canceled reservations and audit them to analyze what actions to take, such as collecting or waiving any cancellation fees, or gather insights on customer behavior to develop strategies for reducing cancellations and increasing customer satisfaction.

  When you cancel reservations, they disappear from your calendar; however, if you access this report, you will find them again.

Access the Cancellation Report

  1. From the Main Menu Main menu icon.png, click Reporting
  2. In the Search Reports bar, type Cancellation (or scroll to the Daily section)
  3. Click on Cancellation Report (the report will open in a new tab)

Understanding the Filters and Reservation Table

When open up the report, you can filter the list of cancellations by:

  1. Search for reservation #, room type, or name: View a specific reservation by entering the reservation number, room type, or guest name. Leave the field blank to see a complete list of all your guests.
  2. Check-in date 
  3. Check-out date
  4. Cancellation date: By default, it will show yesterday’s date every time you access the report

After applying the filters, the table will show a list of reservations with the following fields:

  1. Reservation Number: Confirmation code
  2. Cancellation Date
  3. Name and Surname: Name of the primary guest (booker)
  4. Arrival Time and Departure Date
  5. Room Nights: Number of nights of stay
  6. Room Type: Room category name

The Reservation Number, Name, or Surname fields contain hyperlinked information that takes you to the Reservation Details page.

Export To option

Find the Export To button at the top right corner of the page to download it as a PDF or Excel file.

Cancellation Report FAQ

What should I do with canceled reservations? 

  • Changing the reservation status to Canceled does not automatically clear the reservation balance or refund customer payments in the reservation folio.
  • We recommend setting up a standard operating procedure (SOP) for your staff to understand when and how to collect or waive cancellation fees.

What happens to the balance due?

  • When a reservation is cancelled, the system automatically updates the Balance Due. This process involves removing any pending transactions associated with the cancelled reservation. 
  • The Balance Due is then recalculated to accurately reflect the cancellation. A cancellation fee may also be applied as part of this transaction.
