How to Add or Edit Base Rates in Cloudbeds PMS

Purpose Add or edit accommodation Base Rates for specific dates and days of the week.
Best for Property owners, property admins and operators, and specialized managers responsible for pricing.
Use this when You need to create a Base Rate interval, update rates across a date range, or change the rate for an individual date.
You need Access to Rates and Availability in Cloudbeds PMS and at least one configured accommodation type.
Expected result Your selected accommodations display the configured Base Rates for the applicable dates and days of the week.
Important limit Channel support for MinLOS, MaxLOS, Closed to Arrival, and Closed to Departure restrictions varies. Base Rate changes can also affect connected channels and other Cloudbeds reservation sources.

Introduction

Base Rates are the standard accommodation rates used across Cloudbeds PMS, the Cloudbeds Booking Engine, manual reservations, and connected distribution channels.

You can add or edit Base Rates from the Base Rates page or the Availability Matrix. You can also use the Calendar to change the Base Rate for an individual date.

  Before changing your Base Rates 

  • Base Rates apply to manual reservations, the Cloudbeds Booking Engine, and connected channels.
  • Some channels do not support MinLOS, MaxLOS, Closed to Arrival, or Closed to Departure restrictions. Review Channel Features before applying channel-dependent restrictions.
  • An unselected day of the week or a Base Rate set to zero can prevent the accommodation from being bookable with the Base Rate on that day.

Choose a Base Rate management method

Select the method that best matches the type and scope of the change you need to make.

Method Best for Available changes
Base Rates page Creating and maintaining named seasonal intervals for one accommodation at a time. Rates, days of the week, date ranges, additional guest pricing, MinLOS, MaxLOS, Closed to Arrival, and Closed to Departure.
Availability Matrix Updating multiple accommodations or dates together, or editing an individual date directly in the grid. Base Rates and other displayed rate, availability, or restriction settings.

  Maintain future rates and inventory far enough in advance to support your property's sales strategy. The appropriate date range depends on your operating model, demand patterns, and distribution channels.

Add Base Rates

You can create different Base Rate intervals for the same accommodation. For example, you can create a high-season interval with higher rates and a MinLOS restriction, followed by a low-season interval with lower rates and no stay restrictions.

Expand the method that matches where you want to create the Base Rate.

Add Base Rates from the Base Rates page 

Use the Base Rates page to create and maintain named rate intervals for one accommodation type at a time.

  1. Click Menu.
  2. Go to Rates and Availability.
  3. Select Base Rates.

The following screenshot shows the navigation path to the Base Rates page.

  1. Select the accommodation type for which you want to add a Base Rate.
  2. Click Add Interval.

The following screenshot shows where to select an accommodation and add an interval.

  1. Optional: Select Copy Interval to copy intervals from another accommodation type.
  2. Enter an Interval Name that will help you identify the interval, such as High Season 2026.
  3. Select the interval start and end dates.
  4. Optional: Set a MinLOS or MaxLOS restriction for the interval.
  5. Optional: Set Closed to Arrival or Closed to Departure restrictions.
  6. Under the additional adult and child pricing setting:
    • Select Yes and enter the applicable additional adult or child prices.
    • Select No when you do not charge additional adult or child fees.
  7. Select the days of the week to which the interval applies.
  8. Enter the Base Rate for each selected day.
  9. Click Apply to enter the same rate for all selected days, when applicable.

  An unselected day of the week or a rate set to zero means the accommodation is not available for booking with the Base Rate on that day.

  1. Click Add Interval.

The following screenshot shows the fields used to configure and add a Base Rate interval.

  1. Review the interval under the accommodation type.
  2. Click Save.

Add Base Rates from the Availability Matrix 

Use Long-Term Interval in the Classic experience or Intervals in the new Availability Matrix to add the same Base Rate across multiple dates or accommodations.

  The new Availability Matrix is available only to participating properties during the limited release. Select the tab that matches the experience enabled for your property.

Classic experience New experience
  1. Go to the main Menu Main menu icon.png
  2. Go to Rates and Availability.
  3. Select Availability Matrix.
  4. Click Long-Term Interval.

The following screenshots show the Classic Availability Matrix and the Long-Term Interval control.

  1. Select the Base Rate rate plan.
  2. Select the accommodations to which the rate will apply.
  3. Select the start and end dates.
  4. Select the applicable days of the week.
  5. Under Interval Settings, select Base Rate.
  6. Select Set Amount and enter the Base Rate.
  7. Click Add Interval.
  8. Click Save.

  When available for your Cloudbeds package, the Base Rate interval settings may include:

  • Set Amount: Replaces the rate with the amount you enter.
  • Increase: Increases existing rates by a specified amount or percentage.
  • Decrease: Decreases existing rates by a specified amount or percentage.

  The date-range selector may initially include today's date. Review the selected dates and clear today's date when it should not be included in the interval.

Edit Base Rates

Expand the method that matches the number of dates you need to update and the area of Cloudbeds PMS you want to use.

  Before using Long-Term Interval or Intervals 

  • You cannot directly change the rate of a derived rate plan through Long-Term Interval or Intervals. Update its source rate plan or rate plan configuration instead.
  • Price Differentials do not apply to Base Rate changes made through Long-Term Interval or Intervals.
  • Increase or Decrease changes do not apply to dates with a zero rate or no configured rate.

Edit an interval from the Base Rates page 

Use the Base Rates page to update or delete an existing named interval.

  1. Go to the main Menu Main menu icon.png
  2. Go to Rates and Availability Rates and availability icon.png
  3. Select Base Rates
  4. Locate the applicable accommodation and interval
  5. Select the edit or delete option for the interval

The following screenshot shows the interval actions available on the Base Rates page.

  1. Update the applicable dates, days of the week, rates, restrictions, or additional guest prices.
  2. Save the changes.

Edit multiple dates in the Availability Matrix 

Use Long-Term Interval in the Classic experience or Intervals in the New experience to replace, increase, or decrease Base Rates across multiple dates or accommodations.

Classic experience New experience
  1. Open the Availability Matrix
  2. Click Long-Term Interval
  3. Select Base Rate in the Rate Plan field
  4. Select the accommodations you want to update
  5. Select the applicable dates
  6. Select the applicable days of the week
  7. Under Interval Settings, select Base Rate
  8. Select one of the available actions:
    • Set Amount: Enter the replacement Base Rate.
    • Increase: Select an amount or percentage and enter the increase.
    • Decrease: Select an amount or percentage and enter the decrease.
  9. Click Add Interval.
  10. Click Save.

The following screenshot shows the Classic Long-Term Interval fields used to edit Base Rates.

Edit one date in the Availability Matrix 

Use the Availability Matrix grid when you need to change the Base Rate for one date.

Classic experience New experience
  1. Click Menu.
  2. Go to Rates and Availability.
  3. Select Availability Matrix.
  4. Locate the applicable accommodation and date.
  5. Select the Base Rate cell and enter the new rate.
  6. Press Enter or use the available save action.
  7. Click Save, when displayed.

The following screenshot shows a Base Rate being edited directly in the Classic Availability Matrix grid.

  When Price Differentials are configured, entering a rate for the base accommodation and confirming the value can update linked accommodation rates according to the configured differentials.

Navigating away from the cell without confirming the value may not update the linked accommodations. Dates with a zero rate are not updated through the differential calculation.

Edit one date from the Calendar 

Use the Calendar when you need to update the Base Rate for one accommodation on one date.

  Calendar limitations 

  • Price Differentials do not apply to rate changes made from the Calendar.
  • The Calendar can update rates, but not MinLOS, MaxLOS, Closed to Arrival, or Closed to Departure restrictions.
  1. Click Menu.
  2. Select Calendar.
  3. Locate the applicable accommodation and date.
  4. Select the displayed rate.
  5. Enter the new rate.
  6. Click Confirm.

Understand Base Rate interval behavior

Expand these scenarios to understand how Cloudbeds adjusts existing Base Rate intervals when you add or edit rates.

What happens when Base Rate intervals overlap? 

When a new or edited Base Rate interval overlaps an existing interval, Cloudbeds displays a confirmation message explaining how the existing interval will be adjusted.

For example, consider an existing High Season interval that covers November through June. If you create a Medium Season interval for November 1 through November 20, the new dates overlap the High Season interval.

After you confirm the change, Cloudbeds can divide the existing interval into separate date ranges and place the new interval between them.

The following screenshot shows an overlapping-interval confirmation and the proposed interval changes.

How do rate changes affect existing intervals? 

When you change a Base Rate from the Calendar, Availability Matrix, or Cloudbeds PIE, Cloudbeds automatically updates the corresponding Base Rate interval.

When the new value applies to only part of an existing interval, Cloudbeds can divide the original interval and create a separate interval for the changed dates. The same behavior applies when supported stay restrictions are edited from the Availability Matrix.
