How to make a new reservation using the split view option

Step 1: Log into myfrontdesk by Cloudbeds

Step 2: Click on New Reservation Button

New Reservation Screen - Overview

1) Select the Source - Direct Reservation will list first then Third Party sources

2) Select the desired Check In & Check Out Date

3) Click on search button to find availability

4) View: Click which view screen option

  • Simple View: This option will search for availability for the same room type for the entire date range selected.
  • Split View: This option will allow user to create a split reservation across multiple room types for the date range selected.

5) Summary Tab - Once accommodations has been selected, the summary tab on the bottom of screen will automatically populate according to rates and Policies already set up on your platform.

 

 

Step 3: Creating Direct Reservations (Split View Option)

1) Select the Direct/Primary Source

2) Select the desired Check in & Check Out Dates

3) Ensure that the view option is set to SPLIT

4) Click on the SEARCH button

5) The Availability screen will display all room types. Those sections that have the RED X signifies that room type is not available to sell on that particular day. System will not let you select those options.

Room Accommodation Availability

1) Select the room type and dates that are applicable for stay. (Once a room type and day is checked, it will populate in the reservations section below)

2) Reservation section gives you a brief summary of the dates / room type / price you have selected in the availability section above.

  • The flag symbol represents that this one reservation has split reservations and will require room moves by the guests.

3) Click on the ADD button to proceed to the next step

Booking Details

1) Accommodations section - It is very important to pay attention to the accommodation section as it breaks down a guest split reservations in detail. You are also able to pre-assign room for guest in this section.

2) Fill out the required guest information

3) Select the GUEST button located on the bottom right hand side to proceed to next step

 

Additional Guest Details

By default, Primary Guest will be the same individual entered into the Booking Details Step. Additional guest options will only be available if there are one or more occupants assigned to this accommodation type.

Confirm & Payment Screen

1) Review Reservation Summary - Displays guest reservation in detail

2) Accommodation Summary - Displays room accommodations

3) Price Summary - Displays room rates, taxes, totals and suggested deposit if applicable In the payment information, if will display the type of payment used.

4) Option to automatically check in guest to room upon completing reservation. If room was not already pre-assigned in the guest details section then a pop up box will appear for you to assign room.

5) Click on Confirm Reservation to complete process. A pop up box will ask if you want to send email to guest before proceeding, you can either select send or continue without sending.

Step 4: Creating Third Party Reservations (Split View)

1) Select the Third Party Source

2) Enter the Source Reservation ID / Third party confirmation number

3) Enter the desired Check In & Check Out Date

4) Select Simple View Option

5) Click on Search

Room Accommodation Availability

1) Select the Room Type and Date of reservations (****Special Note: The system will prompt an error message if 2 room types are selected on the same day****)

2) Modify the room rate to the rate that was sold to OTA, select the Adults/Child options and the room QTY

  • The flag symbol represents that this one reservation has split reservations and will require room moves by the guests.

3) Click on ADD to proceed to next step

Booking Details

1) Accommodations section - It is very important to pay attention to the accommodation section as it breaks down a guest split reservations in detail. You are also able to pre-assign room for guest in this section. (The solid line between accommodations represents 1 separate reservation, the other accommodation has a split during their stay)

2) Fill out the required guest information

3) Select the GUEST button located on the bottom right hand side to proceed to next step

Notes:

  • The solid line in between reservations means that particular reservation does not have a split accommodation during their stay.
  • The dotted line with the flag symbol represent that particular reservation has split accommodations and will require room moves during their stay.
