Why Is There a Difference Between Guest Reservations and the Rooms Sold/Occupancy Report

You might notice a difference between the guest reservations section and the Rooms Sold/Occupancy Report. This happens because the report only counts certain reservation statuses:

Included Statuses:

  • Status "Confirmation Pending"
  • Status "Confirmed"
  • Status "In-house"
  • Status "Checked-out"

Not Included:

  • Cancelled
  • No-show

When you export data from the reservations tab, include the room number. This is important for calculating the correct number of room nights if you’re doing the math manually.

Minimum Required Fields for Export:

  1. Guest Name
  2. Room Number
  3. Nights
  4. Check-in Date
  5. Check Out Date
  6. Status

You must adjust the room nights if a reservation crosses into another month. Remove nights from the previous month and add them to the new month.

Examples:

  • Reservation Dates: 5/31/2020 - 6/6/2020

Only 1 room night sold counts for May. The remaining five nights move to June.

For Multiple Rooms: If a reservation includes multiple rooms, remember to add the extra nights since the export will only show one room.

  • Room Numbers: 101, 103, 105
  • Reservation Dates: 1/5/20 - 1/6/20
    The export will show only one night sold. You’ll need to add two more nights to reflect that 3 room nights were sold.
