How to reassign a reservation?

For example, Aston wants to change the room from Standard to room:

1) First, check if rooms are available to up-sell

2) Click on the initial reservation and drag reservation to the desired room.

As you can see from the short overview above, there will be an alert while dragging a reservation to the room which has a different price. This alert will notify you about the price difference and you have the following options:

1. Confirm Up-Charge (Or Down-Charge) - reservation will be re-assigned to a new room and the price will be risen (lowered) according to the new room cost.

2. Override - the reservation will be re-assigned to a new room, but the price will remain the same.

3. Cancel - reservation won't be reassigned.

You can reassign reservations on the calendar only if they are set to Confirmation pending, Confirmed or In-House status. Reservation should be for the future dates or have at least one stayover day left before checkout.

If reservation check-in/checkout dates are in the past, the system will now allow you to drag and drop it on the calendar.

How to reassign reservations which dates are in the past?

If the reservation is already Checked-Out, the system will not allow you to reassign or edit it. You will need to change its status to "Confirmation Pending" or "Confirmed", perform the required changes and then check it out again.

If you want to reassign the reservation with the dates in the past on the calendar, you can do it the following way:

1. Click on it and choose to Un-assign a room

2. Click on the unassigned reservation and see the possible rooms on the calendar to reassign it

3. Choose the room and click on it in order to place a reservation there:

How to split an existing reservation

If you want to split reservation follow the steps from the short video below:

  1. Access your Calendar and click on the needed reservation
  2. Select "Quick Edit" function
  3. Click on "Add Split" and select accommodation type and name
  4. Uncheck the required dates on the first part of the reservation and select them on the second part of your split
  5. Save Updates

There shouldn't be a gap between the dates in case if this is a split reservation.

How to combine split reservation

If you want to unite two split reservations, please, follow the guide below:

  1. Access your Calendar and click on the needed reservation
  2. Select "Edit Split" function
  3. Remove the split and add the needed days to the first part of the split
  4. Save updates

How to reassign reservation

For example, if we need to change the room type for our guest from Standard to Queen, we need to do the following:

1. Enter the reservation, go to Accommodations section and click "Edit Reservation":

2. Click on the room which needs to be edited and change the check-in/check-out dates (if needed)

3. Click Search

4. Click "Update" next to the room which you want to assign to this guest

5. You will see "Accommodation Changed" pop-up in the left down corner

6. Save updates

How to make a split
Option 1.

1) Click Edit and select "Quick Edit" next to the accommodation which you want to split:

2) Click on "Add Split"

3) Select the accommodation type for the split

4) Uncheck the days from the first room and check the dates for the second room

5) Save updates

Option 2.
  • The solid line in between reservations means that particular reservation does not have a split accommodation during their stay.
  • The dotted line with the flag symbol represents that particular reservation has split accommodations and will require room moves during their stay.

1) To split a specific accommodation under the reservation, click on "Accommodations" section and then on "Edit Reservation"

2) Click on the accommodation which you'd like to edit and enter the modified Check-In & Check-Out Dates

3) Ensure that "the view option" is set to SPLIT - it is set to simple view by default

4) Click the Green Search Button to check for availability

5) Click "Add Split"

6) Select Accommodation Type for the split

7) Uncheck the stay dates from the first room and check them for the second room, chosen for the split

8) Check the info in "Update Accommodation" section and click "Update"

9) Note: During the modification process the accommodation section on the left-hand side of the screen will show original reservations until you hit "Update". Once that is done then it will automatically update the accommodations section on the left (9) of the screen with the updates for review. The Blue UPDATE button on the bottom right will update and confirm reservations modifications.

10) Save Updates

How to combine split reservation

If you want to unite a split reservation, please, follow the guide below:

  1. Access Accommodations tab in the reservation
  2. "Edit" -> "Quick Edit"
  3. Remove the split and add the needed days to the first part of the split
  4. Save updates
