How to Add and Edit Guests on a Reservation

This article will walk you through the steps of managing guest information on a reservation.

How to add multiple guests when creating the reservation from scratch
  1. When you are creating a new reservation, you have the option to choose how many guests you want to add to this reservation:

You cannot add more guests that the room occupancy

Let's take the Private Room below as an example:

  1. On the Reservation Details page, after filling in the primary guest information, you can click on the Guests button to create the second guest profile
  1. Click on the Guest 2 tab and fill in the guest details to complete the reservation process

Follow the same process if you have more than 2 guests on the same reservation.

By leaving the Guest 1 details blank, the system will populate the fields with the Primary Guest information entered on the previous page.

Use the Accommodations section on the left side to select the accommodation and assign a room number or bed to this accommodation. After you have selected accommodation (if you have more than one), you can add additional guests for each accommodation.

  1. Now you have both guests assigned to the reservation
How to add an additional guest to an existing reservation
  1. Click on the Add guest button

This button will only be displayed if you have already selected 2 or more guests when creating the reservation

  1. Fill out the new guest's information
    *The first and last name, email, and country of origin are mandatory fields.

If you have repeat guests, just start typing the name or email and the system will suggest the auto fill of the guest's details or you can simply add a new profile.
If you choose an auto fill option for the guest who has previously stayed, the system will not only copy the guest details, but it will also copy the documents uploaded to this guest reservation.

The auto fill feature requires Cloudbeds Plus plan or higher/equivalent

Once you finish, click to Save.

Your guest has been added!

  1. You can now click on room number drop-down menu to assign a room and click to Save
How to manage additional guests on an existing reservation
  1. Go to the reservations screen and click on the reservation you want to modify
  1. Click on the Guest Details tab

 

From this section, you can do the following:

  1. Add a new guest to the reservation -  this button will only be displayed if you have already selected 2 or more guests when creating the reservation
  2. Edit the guest details
  3. Print out the registration card
  4. If an individual is not the primary guest, you can also delete the guest profile from this reservation - It is not possible to remove the primary guest
  5. Take a photo of the selected guest with your webcam or another camera connected to the device you are accessing the platform from
  6. Upload a photo you already have on your device
  7. Assign or reassign which rooms already booked by the reservation they are staying in
  8. View or edit the guest's personal information. This includes first and last name, email, country of origin, which are mandatory for every guest.
  9. Add Notes to the Guest Profile

You can also add custom fields to this section

How to edit a reservation which has only one guest
  1. Go to the reservations screen and click on the reservation you want to modify

2. Click on the Guest Details tab

From the Guest Info section, you can do the following:

  1. Edit the guest details - Please note that it's not possible to delete the primary guest
  2. Print out the registration card
  3. Take a photo of the selected guest with your webcam or another camera connected to the device you are accessing the platform from
  4. Upload a photo you already have on your device
  5. Assign or reassign which room already booked by the reservation the guest will stay in
  6. View or edit the guest's personal information. This includes first and last name, email, country of origin, which are mandatory for every guest.
  7. Add Notes to the Guest Profile
