FACT - How to create a FACT account

FACT is a management solution for properties located in Portugal only, certified by the tax authority, which allows you to issue invoices.

This article shows you how to create a FACT account if you don't have one yet.

Getting started

Go to Cloudbeds PMS and make sure you can see Fact Integration under Integrations menu. If you can't, contact Support Team to request the activation.

  1. Click Account.
  2. Click Settings.
  1. On the left, click Apps and Integrations.
  2. Check if you have Fact Integration.
Create account on FACT
  1. Click the link to create new Fact account: https://www.fact.pt/register/user
  2. Enter your name, email address, agree to the Privacy Policy and click Criar Conta.
  1. An email will be sent for you to set up the password.
  1. Set up your password and click Continuar.
  1. Register your company and click Continuar.

You can also register your company when logging in to your Fact account.

Company configuration

Identificação fiscal

After registration, you must fill in your company's legal information.

  1. Access Definições.
  2. Go to Empresa.
  3. Click Identificação.
  4. Fill out company's legal information and click Gravar Dados.

Contactos

  1. Go to Contactos.
  2. Fill in the mandatory fields and click Gravar Dados.
  1. Scroll down to Localização Google Maps, click and move the pin to define your location.
  2. Cick Guardar Localização.
Contract activation

You will find a contract from Cloudbeds for activation for you to accept.

  1. Log in and from the main Dashboard, click Loja Fact.
  1. Go to Contratos e ofertas.
  2. Click Ver detalhes.
  3. Click Aderir.

If you cannot find the contract, contact our Support team.

The Cloudbeds contract in Fact will not expire as long as you are using the Cloudbeds PMS. Package features included in the contract:

  1. SAF-T Export
  2. Power Tools
  3. API Access
  4. Doc. Canceling
  5. Proformas

However, you may note that there is a premium trial package by Fact, there can be features that are only available in the premium package. Contact Fact support at suporte@fact.pt if you have any questions or need assistance with the package.

After clicking Aderir, the company’s enrollment to the Cloudbeds contract is completed. You now need to proceed the activation of the contracted functionalities.

Activate contracted features

Activate the contracted features in section As minhas aplicações.

  1. Click Loja Fact.
  2. Go to As minhas aplicações.
  3. Turn on Exportação SAF-T.
  4. Turn on Anulação de documentos.
  5. Turn on Power Tools.
  6. Turn on Orçamentos e Pró-forma.
  7. Turn on Interface de Programação de Aplicações.

Proceed with the next steps to complete FACT configuration:

Set up Taxes

Set up the taxes and fees required in your property, depending on your location, they can be different or not mandatory:

  • IVA 6% (Applied to rates)
  • IVA 23% (Applied to products / items)
  • M99 (Exempt Tax. Applied on Tourist Tax)

You will need to set up the same taxes and fees in Cloudbeds PMS to be mapped with the ones in Fact. Follow instructions: Taxes and Fees - How to create Taxes and Fees

  1. Inside your Fact account, go to Definições.
  2. Click Empresa.
  3. Select Impostos.
  4. Click Adicionar and add the desired taxes to your list.
Create API key

The API key is the most important step. With this key, you'll be able to connect your Fact account to Cloudbeds PMS.

If you have a group of properties, you can create one API Key for each property under the same Fact account. Make sure to create them using different names so you can identify the invoices easily.

  • Example:
    • 1st Property Name: Native Hostel  Nome da Série: CBAPINative
    • 2nd Property Name: Summer Hostel Nome da Série: CBAPISummer

Follow steps:

  1. Inside your Fact account, go to Definições.
  2. Click Empresa.
  3. Select API.
  4. Click Nova chave de API.
  1. Mandatory fields must be completed, as well as Tipo de Chave: Produção.
  2. Criar Nova Série: Sim.
  3. Must select Preço com 8 casas decimais.
  4. Click Adicionar.

The API key will be created successfully. You must communicate the series (CBAPI) to the tax authority (Autoridade Tributária).

Grant access to other users

Create a user for you in Fact and for anyone ele who needs to access the system. You may also grant access to Cloudbeds team so we can help with your settings or troubleshoot issues if needed.

  1. Click Definições.
  2. Select Empresa.
  3. Go to Utilizadores e permissões.
  4. In the email field, fill in integrations@cloudbeds.com (giving access to Cloudbeds team).
  5. Click Enviar convite.
