How to connect Quickbooks to Cloudbeds PMS

 Before mapping:

  1. Import historical data/reservations (if applicable).
  2. Add the QuickBooks add-on to your account.
  3. Ensure both systems are implemented.

Follow the steps below:

  1. Go to your Account Account menu icon.png and select Apps & Marketplace Apps and Marketplace icon.png
  2. Search for QuickBooks and click Learn More
  3. Click Submit Request
    Once you agree on the pricing with the support team, you will see the CONNECT APP button.

  1. Sign in to your QuickBooks account

  1. Your Cloudbeds PMS account is now linked to your QuickBooks account, so you can sync your transactions to your QuickBooks accounts.

  If you have multiple properties within QuickBooks, you will see an option to select which property you'd like to link.

Accounting - Mappings

  1. Click on the Main Menu Main menu icon.png
  2. Go to Accounting Account menu icon.png
  3. Go to the Mappings tab
  4. You need to map each of the transaction categories to the needed QuickBooks account.
  5. Each category has an option to Customize this account by category. You can use this option if you need to select on a per-payment basis: different accounts for each payment option.
    If you leave one of the fields unselected, it will use the higher-level account by default.
  6. Click Sync to QuickBooks once you map every category on this page.

  The accounts you are selecting for each payment category are the ones that were created within QuickBooks. They may differ depending on the category.

Accounting - Sync History

This tab shows the synchronization history and the exports we are providing. These exports will provide a summarized and detailed view of all transactions included in the Sync to QuickBooks. These exports are temporary and will eventually be replaced by stock reports in the system.

  1. Sync History
  2. Click here to export the file
  3. This will allow you to export the summary only
  4. Here you will export the detailed file.

FAQ

A synchronization/integration with any of the accounting apps should be disabled before any import.

If QuickBooks is enabled before importing reservations, the system will believe any transactions added to Cloudbeds PMS must be processed. Normally, nobody creates transactions in the past, so the system doesn’t send those over to QuickBooks. But in cases where QuickBooks is enabled before importing reservations, all those imported reservations are considered "new transactions," and they are processed.

The Deposit Account is a Ledger Balance accrual accounting account, not a transactional account. You should map individual payments in your property to transactional accounts where you track the deposits coming from the bank. The Deposit Account that you map to from Cloudbeds should be its own account that will track the overall amount of Deposit you have collected so you know what your outstanding liabilities are.
