Lagunitas Release Notes - April 2017


Cloudbeds is releasing an update to the Cloudbeds system in April 2017 named Lagunitas.  This update includes a handful of system improvements, which have been influenced by your suggestions to us.  Most of the changes are minor, but some may require slight operational changes.

Note: if you did not subscribe to Cloudbeds prior to April 2017, the "Prior to Release" items mentioned in this article do not apply to you.

Below is a high level summary of all the changes

Rate Plans

Source-specific Rate Plan selections

When creating a new rate plan, you can now link them to specific sources. This will prevent you from seeing all of your reseller and promotional rate plans when creating a direct phone booking.  

We wouldn’t want to hide a rate plan that you want to see, so by default all of the sources will be selected for all of the existing rate plans. To modify which sources should be available for each rate plan, navigate to the “Rate Plans and Packages” page, select the rate plan you would like to modify, and remove the checkboxes next to the sources for which this rate plan should not be available.


Promo Codes when creating new reservations

When clicking the button to create a new reservation from within myfrontdesk, you will notice a new field appears to enter the promo code. This will allow you to type in the promo code to search the availability and rates pertaining to only that promotion.

Rate Types when creating a new reservation

When clicking the button to create a new reservation from within myfrontdesk, you will notice another dropdown appears to select what type of rates you want to view: base rates, rate plans and packages, and promotional rates. So you aren’t bombarded with 50 rate options to choose from based on all of the rate plans and promotions you are running, you will now be able to filter down to only the rates that you want to see. The default view will display only the base rates.

Rate Plan used to create the reservation

When navigating to a reservation, in the top section you will find a new field to see which rate plan was used to create the reservation. If a guest booked your non-refundable rate plan, you will see this at the top and know not to refund the guest upon a cancellation.


Daily Revenue Report

  • Will now show all data for transactions completed within the year, rather than only the ones today. This is important so you can see your month-to-date and year-to-date revenue.
  • Description filter added to select what type of data you want to view on the report (IMPORTANT: this filter is already removed after release in June 2017)

  • Embedded amount, month-to-date, and year-to-date links are now available for each tax and fee. Clicking the link will redirect you to the transaction report, prefiltered to show you only the transactions that make up these totals

Tax Report

  • Tax report has been moved from Daily Activity Reports section to Financial Reports section
  • Adjustments filter added to select whether to include adjustments done to taxes and fees on the report
  • Embedded amount, month-to-date, and year-to-date links are now available for each tax and fee. Clicking the link will redirect you to the transaction report, prefiltered to show you only the transactions that make up these totals


Credit Card Refunds

Refunding a credit card payment can now be done via the Refund Payment button. Previously all the payment types except credit card payments could be refunded this way. We noticed this caused a lot of confusion.

Add payment screen

Add payment screen has been modified in order to make it clearer and easier to use. When the entire amount of the payment was not collected, the user first had to select “Custom Amount” option from the Amount Preset filter, then type in the amount of the payment. To reduce having to make an extra click (and avoid confusion of not being able to type in the payment amount), the picklist has been removed. Now you can type directly within the field without having to click the custom amount option.

Matching Guests

When creating a new reservation and inputting the guest details, you will now see a list of matching guests as soon as you start typing within the first name, last name, or email fields. This will allow you to find (and pre-populate) the guest information more quickly if the guest has previously stayed at the property.

Prior to the release, you would have to match up two of the following details about the guest before the system would show any results for previous guests: first name and last name, email, and phone number. If you typed in only the first name and last name, or only the email, nothing would appear. You would have to match both to view the previous guests.

After the release, as soon as you start typing in any of those fields, the system will immediately begin to show results for existing guests.

Guest Status on guest suggestions

When inputting the guest details and a suggestion for a previous guest shows up, you will now likewise see the guest status (if one exists). This will allow you to see more easily whether the guest has been blacklisted and should not be accepted at your property, or whether it is a VIP guest that requires special treatment.

Default Country for Guests option

To the “General System Settings” page, a configuration option added for selecting whether the country should default to the property’s country when adding a new guest. If this is enabled, the guest country will default to the country where the property is located. If disabled, the field will default to “Select Country”, to enforce that the country field is filled out correctly as opposed to skipping over the field entirely.

Creating and modifying reservations for past dates

Creating and modifying reservations for past dates will now be possible. This will allow you to modify a rate, or add a reservation starting in the past, if it was never entered into the application for whatever reason.

This is tied to a user permission that needs to be enabled for all user roles. By default, only the property owner will have this feature enabled, and the rest of the user roles will have it disabled.

Invoices added to Documents tab of each Reservation

Invoices have been added to the Documents tab of each reservation to view all invoices generated. This will allow you to see whether an invoice has already been generated for that particular reservation.

Selecting number of guests for each Reservation

When creating a reservation from the calendar, now it will be possible to select how many guests belong to the reservation. Previously, if there was more than one guest that was supposed to be added to the reservation (especially if there is an additional charge for extra guests), you would first have to remove the room/bed from the cart, then re-add it after selecting the appropriate number of guests.

In order to remove an extra three steps, we added the option to change the number of guests that belong to that reservation.



Enabling “Allow additional bookings when property is at full occupancy” will now also apply to myallocator and the channels, not just the booking engine.

Prior to Release

Previously, if your property was at full occupancy, where one of the room types was overbooked and another still had a room/bed available, this setting would block out availability on the booking engine only.

After Release

This has been extended to apply to all of your channels as well. This way you have time to move a guest to a different room/bed instead of receiving yet another reservation and definitely overbooking.

Save and Continue

Prior to Release

When modifying something on one of the pages and attempting to navigate to a new one without first saving, the system would previously prompt you whether you want to leave the page without saving.

After Release

We have now added the option to Save and Continue

Promo Code is not case sensitive

Prior to Release

Previously, if you had a promotional rate plan with a promo code of “10PercentOff”, the guest would have to type in that code exactly this way. If the guest attempted to enter “10percentoff”, “10percentOff” or “10PeRcEnToFf”, they would receive an error that this promotion is invalid.

After Release

This restriction has been removed. After the release, any of the options listed above will be accepted.


A text editor has been added to all of the sections that appear on the booking engine.
