Email Templates - How to add Images and Clickable Icons to Email Templates


Oftentimes it is useful to add a picture to your email sent to guests, such as property's photograph, a local map or even a clickable icon to your social media. This article will walk you though adding images or clickable icons to the body of email templates

Host an image online

Currently, different email service providers support different types of images. Therefore, we need to make sure the method used works properly for all of them (Hotmal, Gmail, etc.) when sending images to the guests through email.

Gmail does not support regular embedded images and will display them incorrectly

We suggest using the Image URL option rather than selecting from files on your PC because embedded image display will only work with the following email service providers:

  • iOS Mail
  • Outlook 2003
  • Apple Mail
  • Android default

Embedded images do not work for:

  • Outlook 2007+
  • Hotmail (
  • Yahoo! Mail
  • Gmail

Therefore, we suggest the use of online image hosting to make sure the image format is compatible with all email service providers.

To host an image online, we recommend going to and hosting your image there:

  1. Go to and add click on Start Uploading
  1. Click on Upload
  1. Choose HTML full link linked
  2. Select the HTML and click Copy
Add an image in the email
  1. Proceed to the email template that you wish to edit:
  1. Choose location inside of text and put your cursor where the image should be inserted
  1. Click on Image icon inside of the Email Template
  1. On the image URL field, paste the entire link

Only the image source link within http://IMAGE LINK should be kept - Once you paste the link, go ahead and delete the rest of the URL as shown below in green

  1. Click on Insert Image once you finish

Add Clickable Social Media Icons

It is also possible to link your social media pages to your email templates via clickable icons. This is a great way of increasing social media following and ensuring direct reservation conversion via those platforms.

  1. Access this website to download the icons you want to use in your email (instagram, facebook, etc)
  1. Chose the preferred size of the social media icon you want to add in your email template
  2. Right click on it and Save the image as a picture in your computer
  1. Host the image online following the first steps of this article
  2. In Cloudbeds PMS, access the Email Template you wish to add the icons and click on Edit
  1. Click on Code View to paste the link
  2. Chose the location inside of the text and put your cursor where the social media icon should be inserted
  3. Paste the link and replace it with your property's social media site as shown bellow:


  1. Click on Save and check the result in your template:

Now you can enjoy a bigger social media following and combine this with special Rate Plans & Packages for your direct reservations to get more reservations and happier guests.
