Introduction
Cloudbeds Insights extends Reporting with advanced capabilities for creating, copying, modifying, saving, organizing, and distributing reports. These capabilities help properties turn available reporting data into reports designed for specific operational, financial, or organizational needs.
Builder is the set of Cloudbeds Insights capabilities used to create and customize reports. Depending on their permissions for the relevant data, users may also open reports created by others, apply temporary changes, export results, or manage subscriptions.
Use this article to understand when each Cloudbeds Insights capability is useful, which users it supports, and where to find the detailed instructions for the reporting task you need to complete.

Reporting access with and without Cloudbeds Insights
Cloudbeds offers two reporting experiences. Reporting gives users access to reports provided by Cloudbeds, while Cloudbeds Insights adds advanced capabilities for creating, copying, modifying, saving, and organizing reports for specific operational, financial, or organizational needs.
The experience available to each user depends on two factors: whether the property has Cloudbeds Insights and whether the user has permission to access the data included in the report. As a result, users at the same property may see different tabs, reports, or actions.
The table below compares the main areas and capabilities available with Reporting and Cloudbeds Insights. Use it to identify which experience supports the task your team needs to complete.

The tabs below show how these differences appear in the Reporting navigation. Use them to confirm whether the property has the areas needed for the reporting workflow your team wants to complete.
Properties without Cloudbeds Insights can access Cloudbeds Reports and other reporting areas available for their account. This experience is suitable for users who need to review standard reporting information, export supported results, or manage eligible subscriptions without creating or permanently modifying reports.
These properties do not see the Reports or Hubs tabs used for reports and Hubs created by their property or organization.
Properties with Cloudbeds Insights may see the additional Reports and Hubs tabs. These areas support teams that need to create or maintain reporting content for specific audiences, recurring analysis, or organization-wide visibility.
The Reports tab contains reports created from scratch or copied from a Cloudbeds Report. The Hubs tab contains Hubs created for the property or organization.
The Cloudbeds Hubs tab may appear in the Reporting navigation without displaying any content. This is expected, and no action is required. This tab is separate from the Hubs tab available with Cloudbeds Insights.
After confirming which reporting experience is available, open Reporting to identify the tabs and reports available to your user role.
Access Cloudbeds Insights
Cloudbeds Insights capabilities are available through the main Reporting area. Property owners, admins, managers, and other reporting users follow the same navigation path to open it:
- Open the Main Menu
in the upper-left corner.
- Select Reporting

The property owner has Reporting access by default. Other users need the appropriate reporting privileges. Their available reports and actions also depend on their permissions for the relevant data. See Author, Viewer, and data permissions for details.
After opening Reporting, review the permission guidance below before assigning reporting responsibilities or deciding which Cloudbeds Insights workflow a user should complete.
Author, Viewer, and data permissions
Cloudbeds Insights permissions determine both the reporting data a user can access and the actions they can complete with that data. Author and Viewer capabilities are assigned for the relevant types of data rather than as one global permission across all reports.
- Choose Author for users who create and maintain reporting content.
- Choose Viewer for users who review and use accessible reports without changing their permanent structure.
The table below shows who each permission supports, what the user can do, and how the permission may apply in a day-to-day reporting scenario.

Subscription management does not require Author permission by itself. Users can create, edit, and delete subscriptions for reports they can access, including reports created or copied using Cloudbeds Insights capabilities.
Users at the same property may see different reports or actions when their permissions cover different reporting data. A report will not appear as an available subscription option when the user cannot access all relevant data included in that report.
After confirming the user's responsibilities and data access, review the capabilities below to identify which Cloudbeds Insights workflow supports their reporting goal.
