Overview

In Cloudbeds PMS, access to credit card details depends on the user's assigned role, granted permissions, and the role they are currently logged in under. Only the Property Owner has permission to view credit card details by default. All other users must first be granted access by the Property Owner.

This article explains how Property Owners can grant credit card viewing access to other users and how each user can set up their own credit card viewing password. To use this access, users must log in under the role for which the permission applies.

Credit card viewing permission by role

Each Cloudbeds PMS role has different credit card viewing permissions. Users must also be logged in under the applicable role to view credit card details or manage access. Review the requirements for each role below.

Roles	Permissions
Property owner	Has permission to view credit card details by default. The user must be logged in as Property Owner and set up a credit card viewing password. Only a user logged in as Property Owner can grant or manage credit card viewing access for other users.
Organization owner Organization admin Organization/Multiproperty user	Must be granted permission by the Property Owner of each property account separately and must set up a credit card viewing password for each account. To view credit card details, the user must be logged in under the applicable organization role.
Other users	Must be granted permission by the Property Owner and must set up a credit card viewing password for the property account. The user must be logged in under the role to which the access was granted.

Grant or set up credit card viewing password

After confirming the credit card viewing requirements for your role, choose the instructions below based on whether you need to grant access or set up your password.

For organization owners, admins, and users: Credit card viewing access and passwords are managed separately for each property account.

Example: An organization has three properties, and the same organization user needs to view credit card details for all three:

The Property Owner of Property 1 must grant the user access to Property 1.
The Property Owner of Property 2 must grant the same user access to Property 2.
The Property Owner of Property 3 must grant the same user access to Property 3.

The organization user must then set up a separate credit card viewing password for each property account.

Grant credit card viewing access to staff users (Instructions for the Property Owner)

The user must be logged in as Property Owner to access the Security page and grant credit card viewing access. Having the Property Owner role assigned is not sufficient when the user is logged in under another role.

Cloudbeds Support cannot grant credit card viewing access to users.

In your Account menu , go to the Settings page and click on the Users section
Go to Security page
Select the users you want to grant permission to view credit cards.
Click Actions.
Click Enable Credit Card Viewing Access.
Click Apply

You will see the warning and a list of users you granted permission to view credit card data. Click Confirm. The selected user will receive an email with a link to set a credit card viewing password. They must follow the steps to set up the password. The user will receive an email to set up their password.

In case the email wasn't sent or if the user missed the email, reset the password for the user. This will send a new email with a link to set the credit card viewing password.

Select the user, click Actions and select Set/Reset Credit Card Password. An information pop-up will appear, indicating that a reset link was sent to the user's email.
Check who does or does not have a credit card viewing password setup under Credit Card Password Status column.
Reset link will be sent to the user's registered email. They must follow the steps below to set up the password.

Set up credit card viewing password (Instructions for the property staff)

Once permission is granted, the property users will receive an email to set up the credit card viewing password. Follow steps below:

After setting up the password, log in under the role for which credit card viewing access was granted. Organization Owners must be logged in as Organization Owner, and Property Owners must be logged in as Property Owner.

Open the email received from the property owner via Cloudbeds PMS and click Set Password
Enter your desired password
Re-enter (confirm) the password
Click Confirm. Once you successfully set the password, the system will take you back into Cloudbeds PMS automatically.
